Your lead coordinator provides 10 hours of wedding-day coverage, manages the schedule and serves as the point person for your wedding party and vendors.
Décor & Cookie Table
We set up your personal décor and oversee the cookie table so the finishing touches are ready before your guests arrive.
Behind-the-Scenes Support
We manage transitions, answer questions, solve the little issues and help lightly pack personal items at the end of the celebration.
Optional support for the celebration you planned
Ceremony Rehearsal
Add up to one hour of onsite rehearsal coordination, including processional practice, ceremony positioning, music cues and wedding-party guidance.
Additional Associate
Add a trained Soundwaves coordination associate for up to eight hours of added support with décor setup, ceremony lineup, transitions and end-of-night packing. A separate ceremony location requires an additional associate.

Stacy
With 20 years of experience in the wedding industry, Stacy has helped build Soundwaves into one of Pittsburgh’s largest and most trusted entertainment companies. Over those two decades, she has learned what it takes to create a wedding day that feels organized, seamless and unforgettable.
As a wife and mother of two, Stacy understands how much time, thought, emotion and love go into planning a wedding. She has a genuine passion for weddings, decorating and all the little details that bring a couple’s vision to life.
After seeing too many couples and their families spend the wedding day answering questions, managing vendors and worrying about what needs to happen next, Stacy created Soundwaves Wedding Coordination.
Her goal is simple: You’ve spent months—or even years—planning your dream wedding. When the day finally arrives, you should be celebrating, not coordinating.
Stacy will manage the timeline, communicate with vendors, oversee the important details and help keep everything running smoothly so you can be fully present for every moment.

Tara is entering her fourth year with Soundwaves and loves how fun and rewarding it is to help couples celebrate one of the most important days of their lives.
As a 2027 bride herself, weddings are an especially meaningful part of Tara’s life right now. Between planning her own celebration and helping Soundwaves couples enjoy theirs, she understands both the excitement of wedding planning and how important it is to have a dependable team supporting you.

Is Wedding Day Management the same as day-of coordination?
Yes. Wedding Day Management is our complete approach to day-of coordination. However, we don’t simply arrive on the wedding day and hope everything goes according to plan. Our work begins 60 days before your celebration so we can understand your vision, organize the final details and prepare your wedding team.
When does our coordinator begin working with us?
Your coordinator begins working with you 60 days before the wedding. This includes two final-details meetings, creation of your master wedding-day timeline, vendor confirmations and preparation for the flow of your ceremony and reception.
How much wedding-day coverage is included?
Wedding Day Management includes up to 10 hours with your dedicated lead coordinator. Your coordinator manages the timeline, answers questions, communicates with vendors and helps keep each part of your celebration moving smoothly.
Is ceremony rehearsal coordination included?
We’ll provide you with a clear rehearsal script and organize the ceremony details, including the wedding-party lineup, processional order, positioning, music cues and overall ceremony flow. We make everything easy to understand so someone you trust can confidently lead the rehearsal. If you’d like a Soundwaves coordinator to attend and personally guide everyone through the rehearsal, onsite Ceremony Rehearsal Coordination is available as an optional enhancement and includes up to one hour of hands-on rehearsal coordination and wedding-party guidance.
What décor will Soundwaves set up?
Our team can set up personal décor and oversee your cookie table before guests arrive. This may include welcome signs, table numbers, favors, guest-book items, memory displays and other personal finishing touches. Large installations or extensive décor setups may require an additional associate.
When is an additional associate required?
An additional associate may be needed for larger weddings, extensive décor setup, complicated venue layouts or additional ceremony support. A ceremony held at a separate location requires an additional associate.
What is the difference between a venue coordinator and a wedding coordinator?
A venue coordinator primarily manages responsibilities connected to the venue, such as the facility, catering team and venue policies. Your Soundwaves coordinator focuses on you, your wedding party, your complete timeline, your vendors and the overall flow of your wedding day.
Do we have to book Soundwaves for our DJ or photo booth?
No. Wedding Day Management can be booked independently, and we’re happy to coordinate with the DJ, photo booth company and other wedding professionals you have chosen. If you still need entertainment or a photo booth, you can also book those services through Soundwaves for the convenience of having one experienced team working from one coordinated timeline.
Will Soundwaves communicate with our other vendors?
Yes. We confirm final details and communicate with your venue, photographer, videographer, DJ, caterer and other wedding professionals so everyone is working from the same timeline and plan.
